Paper Instructions

Below are some useful instructions to assist the authors to submit their papers for IMAS2026

ORIGINALITY OF SUBMITTED PAPERS

  • Papers submitted to IMAS2025 shall contain original work by the author(s) that have not been published or submitted for publication elsewhere. The IEEE anti- plagiarism policy is applicable to all submissions. The author(s) are solely responsible for any plagiarized submission.

Review PAPER SUBMISSION

  • All papers are required to be prepared and submitted in the IEEE Standard two-column conference format of A4 size in English. Papers must be 3-6 pages in length, including texts, Figures, photographs and references.
  • Please do not include page numbers on submitted documents. Failing to conform to the standard format will result in rejection.
  • Detailed format information is available in IEEE Website. The authors are required to use the standard IEEE manuscript template for conferences. The Microsoft Word template can be downloaded from IEEE conference template page.
  • The submitting authors may be required to create an EDAS account before uploading the paper (if the submitting author does not have a Microsoft Conference Management Toolkit account).

NOTE

  • Once the paper is submitted, the TPC shall start reviewing it, authors cannot update/resubmit the paper.  
  • Authors of accepted papers will receive instructions to certify their manuscripts on PDF Xpress.
  • Please note that all accepted papers that are registered and presented in the conference will be sent for inclusion in IEEE Xplore. The authors must agree to the IEEE copyright conditions and sign the IEEE ecopyright transfer form as part of the online submission process.

Final Manuscript Paper Submission

  • Authors are asked to cover the reviewers’ comments and send a revised version of the paper in a 3-6 pages camera-ready final manuscript before August 20th, 2026, 23:59 (GMT -0700). Authors are encouraged to carefully proofread their final submissions for any linguistic or structural errors.
  • You may not make any unauthorized changes to your manuscript at this time. IEEE will perform a comparison of your accepted paper to your final submission, and any changes outside of what the IMAS2026 Chair has requested through the review comments will need to be justified and approved before publication, causing delays. This includes any changes to the author list, content, or references.
  • Your final paper in PDF format must be submitted no later than the above-mentioned deadline through EDAS.
  • Your completed and electronically signed IEEE copyright release must be filled by the same deadline.
  • To guarantee inclusion in the conference program, at least one author must be registered at the FULL CONFERENCE RATE before August 20th, 2026, 23:59 (GMT -0700), the author deadline. One full registration can cover two (2) papers. Please refer to the registration guidelines as in the following procedure:
  • Please note that all accepted papers that are registered and presented at the conference will be sent for inclusion in IEEE Xplore. The authors must agree to the IEEE copyright conditions and sign the IEEE copyright form as part of the online submission process.
  • It is required that all PDF submissions be IEEE Xplore compliant. If your file does not meet Xplore compliance, it will be excluded from the IMAS2026 digital proceedings and IEEE Xplore. To help you meet this requirement, you must FIRST check to ensure that your PDF file is compliant by using the IEEE PDF eXpress system BEFORE you submit your paper to the conference final submission website.

  • 3. Use PDF eXpress to check or create your PDF file 
  • 4. Once you have a GOOD PDF file, upload your final submission. 
  • NOTE: checking your PDF file for compliance and submitting your final paper for publication are 2 separate procedures. After using the IEEE PDF eXpress system for file compliance, MAKE SURE to return to the final submission website and upload your compliant final submission. 

Before Uploading the camera-ready version of your paper, please check:

  1. The authors listed on the paper are not registered or added on the EDAS (You have to add all the authors in the EDAS as listed in the paper).
  2. The authors listed on the paper should be in the same order as added on the EDAS.
  3. Make sure that there is no change in the list of the authors Listed in EDAS or Listed in the review version of the paper (No adding or deleting for any author).

All the IEEE IMAS2026 conference authors have to register and pay the applicable fee for a paper to be published in the conference proceedings.  
One registration covers a maximum of two papers.   
The paper registration will be considered once all fees have been paid.  
An author should be assigned as the presenter for the accepted paper. The accepted but not presented manuscripts will not be included in the conference proceedings.   
The deadline for registration is August 20th, 2026, 23:59 (GMT -0700)

ORAL PRESENTATIONS

  • Each session room is equipped with a laptop connected to a projector. Presenters should upload their presentation files to EDAS at least one week before the conference. In addition, presenters should check the session computer ahead of time to make sure that their presentations are available and accessible. Technical staff will be available to offer support if needed.
  • The presentation times are allocated as follows: 12 minutes for standard presentations, 30 minutes for invited speakers, 45 minutes for keynote talks, and plenary talks, all of which include time for questions and discussions, and the transition to the next presentation.
  • Presenters are expected to arrive at their assigned session room and check in with the session Chair at least 15 minutes before their scheduled session start time.
  • The session Chair should arrive at the session room at least 15 minutes before the session begins and must ensure that each presentation starts and finishes according to the allocated schedule.

POSTER PRESENTATIONS

  • All presenters are responsible to print their posters on their own and bring them to the conference ahead of time before their allocated poster session.  
  • The poster boards are arranged in ”islands” which can hold up many posters each.
  • Presenters are expected to be present at their posters during the designated session. Each poster will be allocated one A0-sized (118.9 x 84.1 cm) board, oriented in portrait format. Pins or thumbtacks will be provided to attach posters to the board. Presenters should set up their posters at least 30 minutes prior to the session and take them down immediately after it concludes.
